Responsible for the end- to -end Logistics supply chain through the effective management of performance and productivity of logistics teams to reduce risk, improve customer experience aligned to SLAs and overall efficiency and KPI achievement operations.
Job Description

 

Responsible for coordinating route plans and allocating resources
•Obtain and coordinate route plans with the Regional Route Planner daily.
•Confirm that the sufficient number of staff are allocated to specific routes and assign daily route plans to pre-planned operations
•Perform final check relating to run routes in accordance with SOPs/GIs before any departure and escalate any discrepancies to the HOD: Logistics.
•Submit daily Logistics resource plans to the HOD according to designated timelines and obtain approval.
•Schedule the employees on applicable system ensuring optimisation of resources and rotation of resources.
•Communicate the resource schedule with relevant stakeholders daily and update the system within the agreed upon timeframes
•Manage required Logistics equipment and systems for effective operational output.

Maintain SLA and Service Delivery
•Oversee that all service points allocated have achieved SLA requirements in terms of service delivery.
•Arrange and conduct regular meetings with Logistics employees.
•Confirm that all ATM machines are balanced as per the SLA.
•Monitor exception reports and implement remedial action.
•Report all escalations/complaints received from customers to the relevant parties and implement appropriate remedial action.
•Resolve all escalated customer queries in accordance with the SLA.
•Manage customer relationship and operational on-boarding of new services.

Risk Management
•Create the rotation plans for spot checks of ATM's and run inspections and oversee that the implementation occurs to mitigate losses.
•Identify and escalate daily run risks to the HOD and liaise with SBV Risk team on high-risk service points.
•Drive adherence to all SOP’s, legislative and governance requirements
•Assist with the mitigation of risk by using available systems and provide recommendations to mitigate the risk factors identified.
•Daily debriefing of operational teams and reporting identified risks to HOD: Logistics/TSO.
•Provide input in the activation of SBV Risk Business Continuity plans when required per incident type.
•Immediately report all malfunctioning systems to technical support for resolution.
•Compile the necessary documentation and submit to HOD: Logistics in compliance with all the necessary guidelines for operational dispensation.
•Communicate and enforce all Logistics internal procedures to staff in writing and obtain acknowledgement of receipt that the procedures and policies have been read and understood.
•Verify that sites comply to Health and Safety procedures.
Monitor compliance to minimum security standard requirements for the ATM and its environment on a national basis.
•Report all losses, potential losses and ATM differences to the relevant stakeholders.
•Report and provide support into the investigation process in collaboration with the Risk team.
•Verify and approve that all Logistics orders and deposits are reconciled on a daily basis to mitigate Logistics losses
•Provide input on the content for training material and on-going support for the training of ATM staff.

Manage and maintain all Administrative functions within one’s area
•Coordinate Customer stationary required (i.e. Cash Bags, Seals, etc.) and consumables required for daily services.
•Accountable for accurate completion and capturing of relevant documentation in line with audit requirements.
•Gather, compile and submit weekly/monthly MIS reports

Monitor and manage the assets within your Centre
•Oversee that resources such as vehicles and equipment are managed efficiently at the centre and are available for purpose.
•Conduct regular inspections on assets and report any discrepancies to the HOD/Manager.
•Review Logistics-related internal resources at centre level to ensure that fundamental resources and controls are in place.
•Collaborate with the HOD on all new Logistics equipment to be ordered and inform the relevant parties of breakages and shortages.

Issue and receive bags to Logistics employees (as and when required)
•Receive bags returned from runs as per SOP
•Hand out bags before departure as per SOP
•Lock and unlock the CIT vault as per SOP

ATM Administration and MIS Provision
•Monitor and maintain the administration systems within the centre and to record information relating to ATM’s
•Implement an effective filing system for storage of ATM administration, aligned with company policy

People Management
•Provide leadership to employees within SBV.
•Creates a conducive environment which translates into productivity and high morale within SBV.
•Inspire one’s team to deliver on key performance areas.
•Promote the employee value proposition of SBV.
•Adhere to legislative requirements and SBV policies and procedures.
•Aid in the focus on talent to instil value creation for high value contributors.
•Manage one’s headcount in alignment with the principles and policies of SBV ona monthly basis.
•Provide information for disciplinary hearings on behalf of SBV in alignment with statutory requirements and the policies & procedures of SBV
•Provide input to the Talent Management Process within one’s team
•Aid with the performance management process of one’s employees
•Adhere to legislative requirements, company policies and procedures in respect of employment Health and safety practices.
•Responsible for employees to undergo the relevant training inclusive of any mandatory refreshers in conjunction with the Training Academy.
•Arrange and execute training plans in conjunction with the Training Academy.
•Manage overtime / illegal overtime of one’s centre/s through proper planning and staff rotation inclusive of driving the time and attendance system within one’s centre/s.
•Drive leave management in alignment with SBV Policy:
oManage, monitor and report absenteeism daily and report on monthly trends.
oVerify and approve all leave on the ESS system within policy timelines.
oManage leave planning and leave discussion via the applicable system.
•Drive the daily management of the Time and Attendance system specifically in terms of:
oVerifying the Scheduling of employees on a rotational basis.
oApproving of the overtime of the teams allocated.
oVerifying and approving of pay codes and acting allowances on the system.

Lead the organisation culture within one’s centre
•Lead the department’s values while inspiring confidence and generating excitement, enthusiasm and commitment towards the mission.
•Serve as a leader of the culture program driving the desired behaviours and encouraging employee engagement
•Assist with implementing strategies in collaboration with Change Management & HRto evaluate and maintain employee satisfaction
•Initiate and lead a culture of performance driven output through shared purpose vision and values.
•Assist with Transformation and BBB-EE initiatives to ensure sustainable alignment to the company scorecard.

Provide leadership to employees within the organisation, creating a winning culture and high morale, lead as an Ambassador and Executor of Change
•Act as a change management architect in periods of change to ensure continuity to operations
•Effectively communicate and embed new processes and procedures as they occur addressing or escalating matters / concerns to the SME’s (subject matter experts) when required.
•Facilitate the necessary presentations, workshops or forums in order to ensure consistent and accurate communication is given across one’s centre/s.

Job Requirements

Work experience

•3 years’ experience in CIT environment of which:
  o 2 year’s must be in a supervisory role

 

Minimum Requirements: Education
•Grade 12 or equivalent
•PSIRA Grade B

Special Training or Requirements
• SBV Systems training (Kronos, ESS, ISA, Fraxion etc.)
• Valid code 10 driver’s licence with PDP
• Firearm Competency (FCA60 of 2000)
• Computer literate and Microsoft Office – Basic
