Primary Purpose of the Job
Responsible for the day-to-day supervision and management of staff and balancing of the retail cash processing department.
Job Description
Key Performance Area
Responsible for the adherence of operational procedures within the Retail department
- Implement and manage the execution of receiving, processing and storing of Retail as per Service Level Agreements and related Standard Operating Procedures
- Arrange sessions for daily resource planning & allocation of staff to effectively execute on daily supply and demand as well as schedule and run daily plan sessions with your support team.
- Review that all Staff (Cash Processors/Tellers and Waste and Runner Clerk) are issued with all applicable resources and managed as per Standard Operating Procedure.
Manage workflow from receiving to processing and storing according to bank/ Service Level Agreements.
- Validate all client discrepancies according to procedures and send all required documentation to the Customer Liaison Officer .
- Review all daily reports on applicable SBV systems and apply corrective action for breaches out of Service Level Agreements.
- Confirm that authorisation has been received or settlements completed for all orders prior to dispatching as per Standard Operating Procedure.
- Verify that all waste/ integration/ online batches and releasing is done timeously according to bank Service Level Agreement.
- Evaluate that equipment is maintained and fully operational and report any logged/reported defects to the Head of Department.
Manage and maintain all administrative functions within one’s area
- Collaborate with relevant stakeholders regarding customer stationery and consumables required for daily services.
- Accountable for accurate completion and capturing of relevant documentation in line with audit requirements.
- Manage, monitor and report trend analysis on production reports, absenteeism and system challenges.
- Gather, compile and submit weekly/monthly Management Information System reports.
Responsible for reviewing and implement cash operation processes to increase efficiencies
- Coordinate and supervise the direction of workflow.
- Monitor, report and track all system and equipment failures.
- Ongoing evaluation of procedures in conjunction with the Head of Department- Retail.
- Utilize efficiency models for Capacity Planning and effective Production Management.
- Responsible for updating daily production statistics and conduct production meetings to meet efficiency targets.
Risk Management
- Verify and authorise all individual and departmental daily balancing.
- Verify that all End of Shift/ Day cash on hand are signed over to treasury for safe keeping and retrieval the next day according to Standard Operating Procedures.
- Collaborate and assist the relevant stakeholder with SBV Risk Business Continuity plans when required per incident type.
- Monitor the cash flow as per the floor limit and cash holdings.
- Enforce the searching Standard Operating Procedure of any personnel leaving/ entering the operational department.
- Investigate daily differences as per Standard Operating Procedure and establish root cause analysis and recovery within Service Level Agreement.
- Monitor that all internal and external handovers are Standard Operating Procedure compliant.
- Monitor strict adherence to company Standard Operating Procedure and escalate non-compliance to the HOD for corrective action as per disciplinary code.
- Weekly spot checks to verify that all procedures are adhered to as per Standard Operating Procedure, taking corrective action where necessary.
People Management
- Provide leadership to employees within SBV Lesotho
- Creates a conducive environment which translates into productivity and high morale within SBV Lesotho
- Inspire one’s team to deliver on key performance areas.

- Adhere to legislative requirements and SBV Lesotho policies and procedures

- Preside over disciplinary hearings and meetings on behalf of SBV Lesotho in alignment with statutory requirements and the policies & procedures of SBV Lesotho.
- Provide input in the Talent Management Process within SBV Lesotho.
- Aid with the performance management process of employees and identify training needs gaps to discuss with Head of Department for consolidated Retail training plan
- Adhere to legislative requirements, company policies and procedures in respect of employment Health and safety practices.
- Manage overtime / illegal overtime of SBV Lesotho through proper planning and staff rotation inclusive of driving the time and attendance system within SBV Lesotho.
- Drive leave management in alignment with SBV Lesotho Policy
- Manage, monitor and report absenteeism daily and report on monthly trends.
- Manage leave planning and leave discussion
- Drive the daily management of the Time and Attendance system specifically in terms of: Verifying the Scheduling of employees on a rotational basis and assessing prior need for overtime
Lead the organisation culture within SBV Lesotho
- Lead the department’s values while inspiring confidence and generating excitement, enthusiasm and commitment towards the mission.
- Serve as a leader of the culture program driving the desired behaviours and encouraging employee engagement.
- Assist with implementing strategies in collaboration with Human Resource Department to evaluate and maintain employee satisfaction.
- Initiate and lead a culture of performance driven output through shared purpose vision and values.
Provide leadership to employees within the organisation, creating a winning culture and high morale, lead as an Ambassador and Executor of Change
- Act as a change management architect in periods of change to ensure continuity to operations
- Effectively communicate and embed new processes and procedures as they occur addressing or escalating matters / concerns to the SME’s (subject matter experts) when required.
- Facilitate the necessary presentations, workshops or forums to ensure consistent and accurate communication is given across SBV Lesotho.

Minimum Requirements: Work Experience
- 4 years’ Cash Operations experience, of which:
2 years supervisory experience
Minimum Requirements: Education
- COSC
- Diploma in Business Management
- GA/Degree in Business Management / Accounting / Risk management will be added advantage
Special Training or Requirements
Computer Literate, knowledge of Microsoft packages-excel, good facilitation skills.
