Job Description
Duties and responsibilities:
We are seeking a Senior Secretary / Conveyancing Paralegal with over 7 years of experience attending to bonds and transfers to join our team. This role involves independently managing conveyancing transactions from instruction to registration, ensuring efficiency, accuracy, and client satisfaction.
Duties include, but are not limited to:-
- Inception: Acknowledge instruction, perusal and understanding of loan conditions, performing and interpreting deeds office records, initial contact with client and the linked attorney and opening of the file.
- Preparation of loan documents for signature by client.
- Attending to transfers, various land development applications and preparation of various notarial deeds and servitudes.
- Preparing various other conveyancing documents such as related applications, powers of attorney, waivers of preference, resolutions, conveyancer’s certificates etc.
- Weekly reporting to clients, bankers and agents and where necessary, liaising with city councils, managing agents and linked attorney firms.
- Preparing lodgement documents and attending to the necessary lodgement arrangements.
- Ensuring all loan conditions are met in order for matters to be registered successfully at the relevant deeds registry within satisfactory turn-around-time.
- Attending to all financial aspects of transactions, including final accounts, collecting costs/disbursements from clients and attending to general accounting queries.
Job Requirements
Skills and knowledge
- Thorough understanding of conveyancing processes in general, i.e. transfers, bonds, cancellations etc.
- Understanding of various loan conditions, title conditions and being able to interpret deeds office records and surveyor diagrams.
- Experience in commercial bond registrations.
- The ability to attend to instruction independently from inception up until registration at the relevant deeds office and to effectively manage high volumes.
- Strong written and verbal communication skills for professional correspondence and client interaction.
- Good command of the English language.
- Team-orientated with excellent interpersonal skills and a proactive approach
- Typing speed of 45+ words per minute.
- Meticulousness and attention to detail.
- Fully conversant in Microsoft Office, LexisConvey, Webconvey, Stordoc and L@W/E4
Qualification/s
- Matric or equivalent qualification
- Secretarial Diploma with excellent typing skills
- Minimum of 7 years’ experience attending to mortgage bond registrations.
