Job Description

MVIA is seeking a detail-oriented GRC Administrative Assistant to provide administrative support to the Head of Governance, Risk and Compliance (HoGRC). Based in Tokai, Cape Town, the successful candidate will support independent oversight across two licensed financial services providers. Key duties include maintaining monitoring trackers, retrieving evidence, reviewing authorised call recordings and ensuring that each entity's records remain accurate, complete and separately maintained. This role offers a structured entry point into governance, risk and conduct assurance for a meticulous professional who takes pride in accuracy and integrity.

Key responsibilities

  • Maintain the GRC monitoring calendar, monitoring lists, sample trackers, evidence indexes and follow-up schedules.
  • Retrieve documents, system extracts, forms, approvals, correspondence, call recordings and other evidence as requested by the HoGRC.
  • Complete the approved monitoring checklists, recording the sample, source, date, evidence reference, status and factual observation for each item.
  • Listen to authorised call recordings and record the relevant timestamps and factual observations.
  • Identify missing, incomplete, late, inconsistent or contradictory evidence and refer the observation to the HoGRC for assessment; do not make the final risk, compliance or regulatory determination.
  • Prepare separate weekly monitoring information and evidence summaries for each financial services provider for review by the HoGRC by the agreed deadline.
  • Track outstanding evidence and follow-up actions with the relevant evidence owners.
  • Maintain a complete audit trail recording what was requested, what was received, what was not available and when matters were escalated.
  • Escalate apparent concerns promptly through the approved channels and protect confidential client, employee and business information.
  • Refer any potentially material, urgent, red or critical observation to the HoGRC on the same day. The HoGRC determines the final classification and required escalation.
  • Perform other related administrative duties as reasonably required by the HoGRC.
Job Requirements

Qualifications

  • Essential: Matric (Grade 12).
  • Preferred but not required: a post-matric certificate, diploma or degree (NQF 5 or higher) in risk management, compliance, law, business administration or a related field.
  • Advantageous but not required: the Regulatory Examination (RE5), a FAIS-recognised qualification, or short courses in compliance, POPIA, FIC/AML or quality assurance.

Experience

  • At least two years' experience in administration, quality assurance, claims or client-file administration, call-centre work, records management, operations support or another evidence-based environment, preferably in insurance or financial services.
  • A proven record of accuracy and reliability in your current or most recent role.
  • Proficiency in Microsoft Word, Excel, Outlook, Teams and SharePoint, or equivalent business systems.
  • Clear written English and the ability to communicate professionally with evidence owners and senior management.
  • Willingness to perform structured, repetitive monitoring and evidence work, maintain strict confidentiality and keep the records of separate entities apart.

Advantageous but not required:

  • Exposure to FAIS, FIC/AML, POPIA, insurance administration, complaints, claims, underwriting, intermediary services, F&I or call-centre quality assurance;
  • Experience with audit files, evidence registers, monitoring checklists, quality scores, RAG reporting or corrective-action tracking; and
  • Experience listening to recorded calls to identify missing disclosures, script deviations or inconsistent information.

Key competencies:

  • Attention to detail: the ability to identify missing fields, inconsistent dates and incorrect references.
  • Investigative curiosity: the ability to establish what evidence supports a record, without making accusations or premature judgements.
  • Risk awareness: the ability to recognise a potential control gap or conduct concern and to escalate it appropriately.
  • Structured discipline: the ability to complete every checklist field and to remain accurate when performing repetitive work.
  • Attentive listening: the ability to identify omissions, tone and required disclosures, and to record timestamps accurately.
  • Objective writing: the ability to distinguish observations from interpretation and to write clear, neutral notes.
  • Integrity and courage: a commitment to recording uncomfortable facts honestly, even when they concern a colleague or manager.
  • Confidentiality: the discretion to handle client, employee and call-recording information in accordance with POPIA.
  • Independence and learning agility: the ability to learn new standards quickly and to maintain professional distance from the processes under review.
