NACOSA is seeking a highly organised, detail-oriented and proactive Training Administrator to support the successful implementation of the SEF Project.
Job Description

Nacosa is seeking a highly organised, detail-oriented and proactive Training Administrator to support the successful implementation of the SEF Project. 

The Training Administrator will provide comprehensive administrative and coordination support for project training activities, ensuring that training programmes are effectively scheduled, participant information is accurately captured and maintained, attendance and supporting documentation are properly recorded, and training reports are submitted accurately and on time. 

 

The duties and responsibilities of the Training Administrator will include, but not limited to: 

  • Administer accredited, invoiced, and online/non-accredited training programmes.
  • Maintain learner database from enrolment to certification, ensuring data integrity and verification.
  • Manage learner selection documentation, ensuring applications and supporting documents meet entry requirements.
  • Respond to learner enquiries (walk-ins, phone, email), and support learners and facilitators throughout the process.
  • Organise workshops, meetings, and functions, including logistics, invitations, and attendance confirmations.
  • Prepare agendas, take minutes, and distribute documents and correspondence as required.
  • Manage filing systems, workshop materials, and stationery stock for training sessions.
  • Capture and verify attendance on LMIS/TI database, enrol learners/organisations, and troubleshoot basic e-learning queries.
  • Coordinate with external service providers and create payment requisitions for venues, catering, courier, stationery, facilitation, moderation, and online platforms.
  • Maintain project payment tracking tool and ensure payments are up to date.
  • Compile monthly training and administrative reports, contribute to donor reporting, and provide training data analysis.
  • Perform ad hoc departmental tasks and stand in for colleagues or managers when required.
Job Requirements
  • Matric certificate or equivalent NQF qualification.
  • Office/Business Administration Certificate required.
  • Proficiency in English and one other South African language (African language advantageous).
  • Code B driver’s license with no endorsements.
  • At least 3 years’ relevant work experience.
  • Knowledge and experience in education and training practices.
  • Previous experience arranging flight bookings and handling training logistics.
  • Experience developing online training programmes.
  • Background in NGO/NPO work, preferably in health, GBV, or social employability programming.

  • Strong computer skills with proficiency in MS Office Suite.
