NACOSA is seeking an experienced and highly organised Payroll Administrator to support the implementation of the SEF Project. The successful candidate will be responsible for the accurate, timely and confidential administration and processing of payroll for approximately 1,075 employees/beneficiaries. The position requires strong payroll administration experience, excellent attention to detail and, importantly, hands-on experience using the Kwantu system.
The Payroll Administrator will work closely with the Human Resources, Finance and Project teams to ensure that all payroll information is accurately captured, verified, processed and reported in accordance with organisational policies, project requirements and applicable legislation.
The duties and responsibilities of the Payroll Administrator will include, but not limited to:
- Administering and processing monthly payroll for approximately 1,075 employees/beneficiaries.
- Using Kwantu to capture, maintain, verify and process payroll and employee information.
- Ensuring that payroll is processed accurately and within strict monthly deadlines.
- Capturing new appointments, employee changes, salary adjustments, deductions, leave information and terminations.
- Conducting comprehensive pre-payroll checks and validations to identify and correct discrepancies.
- Reconciling payroll information and investigating any variances or irregularities.
- Ensuring accurate processing of statutory deductions and payroll-related requirements.
- Preparing payroll reports, schedules and reconciliations for management and project reporting.
- Maintaining accurate and up-to-date payroll and employee records.
- Ensuring all payroll documentation is properly maintained and available for audit purposes.
- Responding to employee payroll queries and resolving discrepancies in a professional and timely manner.
- Working closely with HR to ensure that employee records and payroll information are aligned.
- Working closely with Finance to ensure accurate payroll reconciliations and financial reporting.
- Supporting internal and external payroll audits and providing required documentation.
- Maintaining strict confidentiality and security of employee and payroll information.
- Monitoring payroll data for completeness, accuracy and compliance.
- Assisting with project-related payroll reporting and other payroll administration requirements.
- Performing any other duties reasonably required in support of the SEF Project.
Job Requirements
- Diploma or Degree in Human Resources, Administration, or related field (experience and prior learning will also be considered).
- Minimum of 3 years’ payroll administration experience.
- Solid knowledge of payroll principles, processes, and procedures.
- Detailed knowledge of statutory requirements (PAYE, UIF, SDL, COID).
- Previous experience working in an NGO or non-profit organisation.
- Experience working on a grant-funded or donor-funded project.
- Experience working in a large-scale project environment.
- Experience managing payroll for 1,000+ employees/beneficiaries.
- Previous experience with SEF-related projects or similar employment programmes.
- Experience with Sage, PaySpace or other payroll systems.
- Experience with payroll reconciliations and audit preparation.
- Knowledge of relevant South African labour and employment legislation.
- Experience working with HR Information System
Personal Competencies
- Proficiency in Kwantu and MS Office, with excellent Excel skills.
- Strong written and verbal communication abilities.
- Excellent planning, organising, and attention to detail.
- Problem-solving capability with sound interpersonal skills.
