Job Description

NACOSA is seeking a highly organised and proactive Programme Administrator to provide comprehensive administrative and programme support. The successful candidate will coordinate meetings and events, manage programme documentation and logistics, and ensure compliance with organisational policies and procedures. Experience within the NGO/NPO or healthcare sector will be an added advantage.

The duties and responsibilities of the Programme Administrator will include, but not limited to:

 

  • Provide efficient administrative support to programme staff and management.
  • Coordinate meetings, workshops, training sessions, and events, including venue bookings, travel arrangements, catering, and logistics.
  • Prepare agendas, take minutes, and distribute meeting documentation.
  • Maintain accurate programme records, filing systems, and databases.
  • Process administrative and financial documentation in line with organisational policies and procedures.
  • Assist with procurement and asset administration where required.
  • Support programme reporting and document management.
  • Liaise with internal departments and external stakeholders to facilitate programme implementation.
  • Monitor administrative deadlines and ensure timely completion of assigned tasks.
  • Provide general office support and perform other administrative duties as required.
  • Ad-hoc duties as required by the programme team.

 

Job Requirements

 Required Qualifications, Skills and Experience

  • Matric certificate or equivalent NQF qualification and Office or Business Administration Diploma
  • Minimum of three (3) years’ experience in an administrative and/or Personal Assistant role.
  • Strong computer literacy, including proficiency in MS Excel, Word, PowerPoint, email, and internet applications.
  • Proven experience in arranging flight bookings, finance administration, procurement processes, and training logistics.
  • Excellent written and verbal communication skills in English, with the ability to interact effectively at all levels of staff and with external stakeholders.
  • Previous experience working within the NGO/NPO sector
  • Strong attention to detail with excellent organisational and time-management skills.
  • Valid driver’s license and must reside within the Cape Town region.
