Job Description

Job Summary:

To ensure organisational effectiveness through the optimisation and maintenance of operational

systems, business processes and procedures, and effective reporting to relevant stakeholders.

 

Key Responsibilities and Deliverables:

Analysis and Reporting

• Screen operational reporting needs to ensure quality

• Supervise the reporting processes

• Analyse reports to identify exceptions and provide feedback on reporting when necessary

• Assist with overseeing projects where required and consolidate and analyse data

• Provide project-specific feedback to stakeholders

• Ensure operational reporting analysis, when required

• Implement ROI reports

 

Maintenance and Supervision of Adherence to Internal Processes and procedures

• Maintain applicable databases

• Review current processes

• Design agreed new processes and facilitate in the implementation of processes and systems

• Monitor and maintain processes and systems

• Set up training materials and conduct and record all training on new systems

• Conduct regular system assurance evaluations

• Collaborate with system developers to implement new approved systems

 

Operational Excellence and Customer Satisfaction

• Understand the expectations of stakeholders and ensure stakeholder needs are met

• Engage with operational team to facilitate and support achievement of excellence

• Manage day-to-day activities of operational team and communicate bottlenecks and workload impacts

• Analyse audit reports to identify gaps, implement approved enhancements and maintain error tracking and compliance reports

• Support and liaise with Operations with regards to relevant business systems

• Ensure effective asset recording and facilitate asset-related processes as determined by business unit needs

• When called upon to do so or when OI Manager is unavailable, represent the OI department at ACC meetings, Cell Phone

• Committee meetings, OI meetings and ROSS meetings

 

Administration

• Supervise the accurate ordering and maintenance of equipment as and when required

• Provide ongoing information regarding relevant policies, processes and procedures

• Conduct regular required audits on CGCSA

• Capture project-specific data and ensure quality, accuracy and integrity of data

• Maintain asset process base for relevant business unit

 

Operational Supervision and Team Management

• Facilitate and supervise the OI Administrators to ensure achievement of objectives

• Respond to and ensure resolution of any escalated queries or problems

• Train new team members on internal processes and procedures

• Monitor performance of operational team in terms of departmental objectives and customer needs

• Assist with staff learning and development

• Motivate, mentor and coach staff

Job Requirements
  • Minimum Qualifications: Diploma or Degree/NQF level 6 or 7

  • Minimum Experience: 4-5 years’ experience in a systems/ analytical environment.

  • Project Management an advantage
